Accounting Clerk/Administrative Assistant

Clausen Companies is seeking a detail-oriented and professional Accounting Clerk/Administrative Assistant to join our team. This position places a strong emphasis on accounting duties while also supporting administrative and front-desk operations. The ideal candidate will be highly organized, adaptable, and comfortable working in a fast-paced, team-oriented environment.

Key Responsibilities

Accounting Duties

  • Create and distribute trucking invoices to customers
  • Oversee trucking collections and escalate issues to the Controller as needed
  • Process check deposits accurately and promptly
  • Consolidate incoming paperwork from warehouse clerks into Excel and create tables for other departments to build invoices from
  • Utilize accounting software systems such as McLeod, Excel, and QuickBooks

Administrative & Reception Duties

  • Answer and direct phone calls with professionalism and customer focus
  • Provide day-to-day administrative support across departments
  • Coordinate advertising efforts as needed
  • Manage and organize purchases for all company locations
  • Maintain supply levels and ensure general office manager functions
  • Support the Controller and HR Manager with additional tasks based on experience and knowledge
  • Use Microsoft Office Suite for communication, organization, and reporting

Qualifications & Experience

  • Minimum of two (2) years of related accounting/administrative experience
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
  • Experience with QuickBooks and McLeod software preferred
  • Strong knowledge of customer service best practices (internal & external)
  • Excellent organizational skills and attention to detail
  • Strong verbal communication, telephone etiquette, and listening skills
  • Ability to adapt quickly to changing priorities and handle pressure effectively
  • Team-oriented with a cooperative, professional attitude
  • High level of accuracy, diligence, and reliability

Physical Demands

  • Ability to sit for 2–3 hours at a time, and occasionally stand, walk, stoop and kneel
  • Must frequently lift and/or move up to 10 lbs, and occasionally up to 25 lbs
  • Comfortable managing light office upkeep
  • Maintain composure and professionalism in high-stress situations and when receiving criticism
